This policy is intended to operate as a serious website privacy notice and personal-information collection statement for online inquiries. It describes the categories of information collected, the purposes of use, possible transfers, retention approach, data-security expectations and user rights. It is not a substitute for formal legal advice, and IT-TECH® Solutions Limited may update it when the website, service providers or applicable requirements change.

1. Data user and contact point
IT-TECH® Solutions Limited is the data user for personal data submitted through this website and related inquiry channels. Privacy requests are handled by the Company Secretary and should be sent to info@ittech.info or by post to the Company Secretary at the address below. The Hong Kong office address is Rm 1805-06, 18/F Hollywood Plaza, 610 Nathan Road, Mong Kok, Kowloon, Hong Kong. Privacy requests should identify the relevant inquiry, email address and approximate date of communication so that the company can locate the correct record.
2. Personal data we may collect
We may collect name, email address, company name, project type, project location, target timeline, product interests, quantities, dimensions, budget context, message content, quotation records, email correspondence, form-consent records, captcha/security logs, cookie or local-storage preferences, browser and device information necessary for website operation, and AI-chat content where the assistant is activated and used. Users should not submit unnecessary sensitive personal data.
3. Purposes of collection and use
Personal data may be used to respond to inquiries, prepare quotations, clarify specifications, coordinate supplier communication, manage project records, provide customer support, administer forms and security controls, maintain website integrity, improve catalogue navigation, document consent choices, comply with legal or regulatory obligations, protect legitimate business interests and establish, exercise or defend legal claims where necessary.
4. Quotation and supplier coordination
Where an inquiry requires pricing, availability or technical clarification, relevant project information may be reviewed internally or shared with suppliers, logistics providers, production partners, professional advisers or service providers strictly for the purpose of preparing, validating or performing the requested quotation or project. IT-TECH® Solutions Limited does not authorize unrelated use of inquiry data by those parties.
5. AI assistant data
If the AI assistant is enabled, it is a third-party webchat tool used only after the visitor opens the assistant and accepts the AI disclaimer. Chat content may be processed by the AI service provider and may be technically necessary to generate automated responses. Users must not enter passwords, payment-card details, identity documents, confidential trade secrets, regulated professional information or any content that they are not authorized to disclose.
6. Cookies, local storage and service-worker cache
The website uses essential browser storage to remember privacy choices, AI-disclaimer acceptance, security state and cache preferences. Optional third-party scripts are not required for ordinary catalogue browsing. Where any future analytics, advertising or third-party tracking tools are added, the company should update the Cookie Policy and consent banner before deployment.
7. Direct marketing
IT-TECH® Solutions Limited does not use personal data for direct marketing. Information sent through the quotation form or by email is used to answer and administer that enquiry, and for nothing else. We send no newsletters and no promotional messages, we do not use enquiry details for advertising or audience targeting, and we do not pass them to anyone else for that person’s own promotion.
Continuing a conversation about the enquiry you sent us is part of answering it, not marketing. If the company’s position ever changes, we will ask first, through a separate and clearly marked choice, and nothing will be sent to anyone who has not given it.
8. Retention
If an enquiry does not result in a quotation, we delete it by the end of the calendar month in which 12 months have elapsed since our last substantive communication about it. If we issue a quotation but no order is placed, we delete the enquiry and quotation correspondence by the end of the calendar month in which 24 months have elapsed from the later of the quotation’s expiry, withdrawal or rejection, where applicable, and our last substantive communication about it. Automated acknowledgements and internal activity do not restart these periods.
If an order is placed, we retain the enquiry and related correspondence only to the extent that they form part of the customer, contract, order, tax or accounting record. We delete those records by the end of the calendar month in which seven years have elapsed from the end of the financial year in which the latest of the following occurs: completion or termination of the order and any related support or warranty obligation; final payment, refund or adjustment; or the last related accounting entry.
We keep the website server logs that record a form submission for no more than 90 days. The network provider that delivers this website keeps its own request records under its own cycle, which we do not set.
We may keep identified records for longer where required by law, or while they remain relevant to an actual or reasonably anticipated complaint, audit, investigation, legal claim or evidence-preservation requirement. We review such exceptions and delete the records when the reason for keeping them ends.
Deletion removes the data from the systems we use for ordinary business. Residual copies may remain for a time in a service provider’s backup or recovery systems until that provider’s own deletion cycle removes them. Those residual copies are not used for ordinary business purposes.
9. Security
IT-TECH® Solutions Limited uses reasonable administrative, technical and organisational measures appropriate to the nature of the website and inquiry data. No website, email system, webchat or internet transmission can be guaranteed completely secure. Users should avoid sending highly confidential or sensitive material through general website forms or AI chat unless a secure project-specific channel has been agreed.
10. Access and correction
A data subject may request access to or correction of personal data held by IT-TECH® Solutions Limited. Requests should be addressed to the Company Secretary, IT-TECH Solutions Limited, Rm 1805-06, 18/F Hollywood Plaza, 610 Nathan Road, Mong Kok, Kowloon, Hong Kong, or sent by email to info@ittech.info. The company may require identity verification, sufficient search information and reasonable time to process the request. Where permitted by law, the company may refuse, limit or charge for requests that are excessive, unlawful, unverifiable or outside applicable rights.
11. Service-provider processing and hosting support
Because the website may use hosting, email, security, AI, logistics, supplier or support services in different locations, inquiry data may be processed through external hosting or support services where necessary for the stated purposes. IT-TECH® Solutions Limited expects service providers to handle data in a controlled manner and should avoid unnecessary transfers of personal data. The website is delivered through the network of Cloudflare, Inc., which therefore processes every request to this website, including the network address and the browser identification string, in order to deliver the pages and to apply security and bot-protection checks. The website itself is hosted on Microsoft Azure infrastructure in Frankfurt, Germany. An enquiry sent from the quotation form leaves through Google’s mail service and is delivered to a company mailbox hosted by Apple, where it is stored. Personal data in an enquiry is therefore handled outside Hong Kong by those providers in the course of delivering it. The catalogue assistant is not loaded until a visitor opens it and accepts the AI disclaimer. From that point the chat window is served by Botpress, Inc., which receives and processes whatever the visitor types into it. Visitors should not enter personal data into the assistant beyond what the question requires. Page views are counted by Cloudflare Web Analytics, a cookieless counter that the Cloudflare network adds to the pages it serves; it reports the page viewed and basic browser characteristics to Cloudflare and stores nothing in the visitor’s browser. Traffic reports are also produced from the network’s own request records. Both are described in the Cookie Policy.
12. Children and unauthorized submissions
The website is intended for business and project inquiries. It is not directed to children. Users must not submit personal data about another individual unless they have decision-maker to do so and the individual has been informed of the relevant purpose of use.
13. Updates to this policy
This policy may be updated to reflect changes in website functions, AI assistant service, service providers, quotation workflows, legal requirements or company practices. The latest version published on the website applies to continued use of the website after publication.
14. Personal-information collection statement
When a visitor submits the quotation form or sends an inquiry, the visitor is providing personal data voluntarily for the purposes stated in this policy. If required information is not provided, IT-TECH® Solutions Limited may be unable to respond, prepare a quotation, coordinate supplier checks or continue project communication.
15. Complaints and questions
Privacy questions should first be sent to the Company Secretary at info@ittech.info with enough detail to identify the relevant inquiry. The company will review practical privacy concerns in good faith. If the company's response does not resolve the matter, a complaint may be made to the Office of the Privacy Commissioner for Personal Data, Hong Kong, which supervises compliance with the Personal Data (Privacy) Ordinance (Cap. 486). Independent legal advice may also be sought.
